Privacy policy

This privacy policy explains how Cut Tools Garden collects, uses and protects personal information in line with the Protection of Personal Information Act, 2013 (POPIA). It applies to enquiries, purchases, service requests and general communication with customers, suppliers and visitors across South Africa.

1. Who we are and what this policy covers

Cut Tools Garden is based in Mkondeni, Pietermaritzburg and supplies garden pruning shears, loppers and hedge tools to home gardeners and landscapers in KwaZulu-Natal and beyond. This policy applies to information handled by our team in the course of normal business, including sales, servicing, dispatch, stock enquiries and customer support.

The operator of this page and related contact handling is Astros Marketing (Pty) Ltd, acting on behalf of the business for website and enquiry administration. By sending us your details through the enquiry form or by engaging our services, you consent to the processing of your information as described below, where lawful and necessary under POPIA.

2. Information we collect

We only collect information that is needed to respond to enquiries, process orders, arrange servicing and manage our business properly. This may include names, contact details, delivery addresses, business details, product preferences and communication records. We may also keep notes about tool servicing, blade replacement, grip replacement, rust removal or other work requested.

  • Contact and identity details submitted through our enquiry form
  • Order and delivery details for customers in Pietermaritzburg, Durban, Johannesburg, Pretoria, Cape Town and Gqeberha
  • Service history for items brought in for sharpening, inspections or repairs
  • Records of payment, invoicing and account related communication

We do not ask for more information than is reasonably required. If you choose not to provide certain details, we may not be able to complete the requested service or respond fully to your enquiry.

3. How we use personal information

Personal information is used for clear business purposes only. These include answering questions, confirming orders, arranging collection or delivery, providing servicing updates and keeping records for stock, warranty or compliance purposes. We may also use information to manage internal operations such as dispatch planning and tool care records.

  • To respond to customer enquiries and requests
  • To process and fulfil orders and servicing work
  • To maintain customer records and after-sales support
  • To meet legal, accounting and municipal record keeping duties where applicable

We do not use your information for unrelated purposes without a lawful basis. Where information is used for another purpose, we will take reasonable steps to ensure that use is compatible with POPIA.

4. Sharing information and third parties

We may share personal information only where necessary to complete a service or comply with the law. This may include sharing delivery details with courier or transport providers, or providing information to service partners involved in a specific request. Any third party receiving information is expected to keep it confidential and use it only for the agreed purpose.

We may also disclose information where required by law, court order or lawful request from a public authority. We do not sell personal information. Information is not shared for unrelated marketing unless we have consent or another lawful ground to do so.

5. Storage, security and retention

We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access or improper disclosure. Access is limited to staff who need the information to do their work, including customer support, warehouse and dispatch, sales and servicing teams. In Pietermaritzburg, as elsewhere, load shedding and service interruptions can affect systems so we keep practical back-up procedures in place where needed.

Information is retained only for as long as needed for the purpose collected, or as required by law. After that, it is securely deleted or archived in a manner that prevents improper use.

  • Restricted access to customer and service records
  • Reasonable safeguards for physical and electronic records
  • Retention periods based on business, tax and legal needs

6. Your rights under POPIA and how to contact us

You have the right to ask what personal information we hold about you, request correction of inaccurate details, object to certain processing and request deletion where the law allows. You may also withdraw consent where processing is based on consent, subject to any legal or contractual duties that still apply. Requests should be made through our enquiry form on the contact page.

We may need to verify your identity before acting on a request, especially where account or service records are involved. If you believe your information has been handled improperly, you may raise the matter with us directly and we will consider it in line with POPIA and our internal procedures. We aim to deal with these matters fairly, promptly and in good faith.
